Land Information Freehold Education (LIFE) Trust (Charitable Trust Registration: CC6335) we use Toi Whakapapa and personal stories — memories, art, family trees, parents' homes, kitchens, backyards and letterboxes — to secure tino rangatiratanga (self-determination).
We are currently seeking an organised and reliable Meeting Facilitator to support the smooth running of our weekly project meetings! Our organisation is looking for someone to take care of the practical coordination that keeps our volunteer team connected, informed, and on track as we deliver the Toi Whakapapa Educational Programme.
The Meeting Facilitator will be responsible for preparing and managing agendas, keeping meetings running to time, and ensuring key decisions and actions are recorded and communicated clearly.
Tasks include:
- Preparing and managing meeting agendas
- Adding new agenda items and relevant volunteers to the meeting
- Allocating an appropriate amount of time to each agenda item
- Recording key discussion points and action items (AKA taking minutes)
- Managing meeting scheduling and calendar invitations
- Reviewing relevant emails and ensuring important information is reflected in the agenda
Please note: applicants must currently live in the Wellington region.
Special Skills Required:
- Good organisational and time management skills, with the ability to prepare clear and concise agendas and minutes.
- 2 years' experience working with New Zealand technology platforms and understanding of local business practices.
- Comfortable using basic digital tools for scheduling, email, and document management (such as Google Workspace).
- Confident and clear communicator
Expected Personality: Organised, reliable, friendly, and calm under the gentle pressure of keeping a meeting on track.
Days, Hours for Role: This is a voluntary role for a non-profit based in Wellington. The project team meets fortnightly on Wednesdays from 11:00 to 1:00. Meetings are currently being held in central Wellington. The Meeting Facilitator will spend a small amount of time outside of meetings preparing agendas, sending invitations, and distributing minutes. We're looking for someone who can commit to this role for several months at least, rather than just a few weeks, given the ongoing nature of the programme.
Training Provided: You will be introduced to all aspects of the Trust's work and supported throughout the project by the volunteer team and the Kaumātua of the LIFE Trust.
