The Secretary is a member of the Board of the Upper Hutt Housing Charitable Trust, and is normally also a Trustee of the Trust. The Secretary is an Officer under the Charities Act 2005, with the position specified in the Trust's Deed.

This role plays an important part in keeping the Trust well-governed, transparent, and accountable — from coordinating Board meetings to maintaining accurate records and supporting new Trustees as they join.

You'll help with:

  • Meeting coordination — preparing the monthly Board meeting agenda with the chairperson, compiling and sending out relevant papers, attending meetings, and preparing accurate minutes including action points.
  • Trustee onboarding and offboarding — issuing and collecting signed Code of Conduct and Conflict of Interest forms, lodging Ministry of Justice checks, updating the Charities Services website for new or departing officers, and arranging Kiwibank authorised signatory changes where relevant.
  • Governance administration — registering amendments to the Trust Deed with the Registrar of Charitable Societies, and making arrangements for the Annual General Meeting (agenda, previous minutes, relevant papers).
  • Donor and community relationships — maintaining a list of donors, issuing the annual donations tax receipt and covering letter, maintaining a list of churches and representatives, and assisting with speaking at church groups and other community groups.

The successful applicant could become a Trustee of the Trust if they wish to.

You'll need:

  • Experience taking meeting minutes and distilling clear action points
  • Previous experience in secretarial duties for a charity or not-for-profit
  • Proficiency with MS Word and MS 365
  • Comfortable using AI-assisted processes for secretarial duties
