Work Management Coordinator — Jira, Confluence and Rovo

New Zealand Film Collaborators is a charitable community production house that uses a community theatre-style model to make films with people, working to remove the financial, educational, physical, geographic and industry-network barriers that keep passionate people out of filmmaking.

We use Atlassian's Jira and Confluence to organise our operational work, documents and delivery programme, with Rovo providing additional search and summarisation support. These systems are only useful when tasks are current, clearly written and connected to the right decisions and documents. This is a work-management and coordination role — Rovo assists but doesn't replace human judgement or organisational authority.

Key responsibilities:

  • Support weekly work triage with the Operations Lead and turn approved initiatives into clear, manageable Jira tasks
  • Ensure active tasks have an owner, status, priority, timeframe and definition of completion
  • Identify stale, duplicated or blocked work, and connect Jira tasks to the relevant Confluence documents and decisions
  • Help onboard volunteers into Jira and Confluence, and use Rovo for summaries with human sign-off

What you'll bring:

  • Strong administrative or work-coordination skills, with clear written communication
  • Experience with Jira, Confluence, Trello, Asana or similar would help (training provided on our setup)

Time Commitment: Approximately 2-4 hours per week.
